The UT Tyler Preceptor Agreement and how a preceptor gets approved
After you file a Self-Placement Request, three sign-offs decide when you can start: your preceptor agrees through a short online survey, course faculty approve the site and preceptor, and the Clinical Coordinator clears the placement. Each UT Tyler track signals the finish in its own way, from the AGACNP certificate's Good to Go emails to the Administration track's Clinical Requirements Complete notice.

Three sign-offs, in order
UT Tyler's approval is a chain, and each link belongs to a different person. Nothing in it moves until the link before it closes.
- Your preceptor agrees. The Clinical Coordinator checks the preceptor information you submitted, then emails the preceptor a link to a brief survey. The preceptor chooses to agree there.
- Faculty approve the site and the preceptor. Course faculty judge whether this preceptor, at this site, can give you the experiences and patients the course requires.
- The Clinical Coordinator clears the placement. Compliance, the facility contract and facility onboarding are confirmed, and your track's clearance notice goes out.

The Preceptor Agreement survey
UT Tyler's Preceptor Agreement is an online survey, not a contract your preceptor signs and mails back; UT Tyler's InPlace guide says plainly that it is not a paper form. The Clinical Coordinator sends it once the preceptor's details are verified, and the preceptor completes it directly.
Your job is to make sure the email lands and gets answered. Put the preceptor's working email address on your request, tell the preceptor a message from UT Tyler is on its way, and ask them to complete it the day it arrives. A survey left in an inbox holds up every step after it.
The 2023 NP guide places the agreement in InPlace, and UT Tyler's Preceptor Resources page still says preceptor onboarding runs through InPlace. Fall 2026 courses use Exxat, so the email may look different from what a longtime UT Tyler preceptor remembers. See Exxat at UT Tyler.
What faculty weigh before they approve
Faculty approval is a judgment about fit. UT Tyler's NP guide asks faculty to confirm the clinical site can supply the experiences and patients you need to finish the course. A family practice with few young patients, for example, is a weak match for the pediatric hours in NURS 5453.
Faculty also apply UT Tyler's rules on who may precept. Credentials, licensure and experience by track are on preceptor requirements, and the bar on training under your supervisor, anyone above you in your reporting chain or a family member is explained on clinicals where you work. Some courses add setting limits: the Fall 2026 NURS 5349 syllabus rules out hospital acute care hours for that internship.
The non-APRN tracks word it differently, with the same effect. The Administration preceptor guide gives faculty final approval of the preceptor, and the Education guide lists approving the preceptor and facility among faculty duties.
The Clinical Coordinator's checks
The Clinical Coordinator is the School of Nursing's checkpoint for everything outside the course itself. Across UT Tyler's documents, that role verifies preceptor information, sends the agreement survey, confirms the facility contract and moves onboarding along. Titles shift by track, with Clinical Liaison in the Administration courses and clinical placement coordinator in DNP course material.
Onboarding is where the facility's own rules come in. UT Tyler's InPlace guide describes an email listing the site's additional requirements, and some facilities ask for UT Tyler's Letter of Good Standing, or its Attestation Letter, on your behalf. If your site has no contract with UT Tyler yet, the timing is covered on affiliation agreements.
The same office is part of the alarm system. The Fall 2026 NURS 7386 syllabus tells students who are struggling to secure a preceptor or site to notify both faculty and the Clinical Coordinator immediately, not just their instructor.
Clearance signals by track
You know you are cleared when your track's signal arrives. These come from the Fall 2026 syllabi.

Save every clearance email. AGACNP students upload them as a course requirement, and in any track they show your hours began after approval.
When your preceptor or site changes
An approval covers a named preceptor at a named site. If either changes, UT Tyler's NP guide makes revising the clinical schedule and resubmitting it to faculty your responsibility. A new preceptor means a new request, a new survey and new approval before any hours with that preceptor count.
Some changes are built into the program. PMHNP syllabi cap any one preceptor at two rotations, and UT Tyler's InPlace guide limited FNP students to 240 hours with a single preceptor. The PMHNP syllabi also recommend scheduling extra hours to absorb cancellations, which leaves room if a preceptor's calendar shrinks.
Tell faculty first, before you commit to a new preceptor's calendar, so the revised schedule and the new request arrive together and nothing is logged in the gap.
Getting your preceptor to a fast yes
Approvals move fastest when the preceptor knows what is coming. Your placement advisor briefs each preceptor on UT Tyler's survey email, on the UT Tyler Preceptor Handbook you are required to give and review with them (it is on Mission Possible in Canvas), on the written objectives you will share before the first shift, and on the Clinical Performance Evaluations they will complete.
We also check every preceptor against your course's rules before you file, so faculty see a match they can approve on the first pass. Questions UT Tyler students ask
How long does preceptor approval take at UT Tyler?
UT Tyler publishes review windows, not a total. One Fall 2026 PMHNP syllabus puts faculty sign-off to begin at a typical 24 to 48 hours, and the AGACNP syllabus builds in 48 to 72 business hours for staff to work through documents and approvals. A new facility contract or onboarding packet can add far more time, so file early.
Does my preceptor sign a contract with UT Tyler?
Your preceptor agrees through an online survey the Clinical Coordinator emails. The contract is between UT Tyler and the facility: the affiliation agreement, which UT Tyler's InPlace guide describes as a paper document with a wet signature. UT Tyler's NP guide requires both to be in place before your clinical experience starts.
What is a Good to Go email at UT Tyler?
It is the clearance notice named in the AGACNP syllabi, which the Clinical Coordinator sends once a given site and preceptor pair is approved. AGACNP students upload one for every site on their clinical schedule. Other tracks use different signals, such as the Clinical Requirements Complete email in the Administration courses.
Can I start once my preceptor completes the survey?
No. The survey is the first of three sign-offs. Faculty review comes next, then the Clinical Coordinator's checks on your compliance file, the facility contract and onboarding. UT Tyler's PMHNP syllabi disallow any hours logged ahead of full approval, and the same logic applies across tracks.
What does my preceptor do after agreeing?
Your preceptor supervises and teaches you, signs daily hour sheets where your course uses them and completes Clinical Performance Evaluations; FNP students need two passing evaluations at 80 percent. Faculty may hold a video check-in that includes you and the preceptor, and they can visit the site without notice.
